Introduction

Wise Owl Technology LLC ("Company," "we," "us," or "our") respects your privacy and is committed to protecting the personal information you provide through our website https://www.childcarewow.com, our WowCare mobile applications (iOS and Android), and any related services (collectively, the "Services").

This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you visit or use our Services. Section 15 ("Mobile Application Permissions") describes the device permissions used by our mobile applications specifically; the remainder of this policy applies to both our website and our mobile applications.

1. Information We Collect

We may collect the following types of information:

a. Personal Information

Information you voluntarily provide to us, including:

  • Name, email address, phone number
  • Business or organization name
  • Login credentials
  • Billing and payment details (processed via third-party gateways)

b. Usage Data

Information automatically collected when you use the Services, including:

  • IP address and browser type
  • Device model, operating system, and app version
  • Pages visited and time spent
  • Diagnostic and crash data (via Firebase Crashlytics)
  • Cookies and tracking technologies (see Section 6)

c. Childcare Center Data

As a SaaS platform for childcare providers, we may collect data related to your organization, including staff records, schedules, children's attendance logs, photos and videos of activities, messages, and communications. This data is stored securely and used solely for service delivery.

d. Location Information (Mobile App)

With your permission, our mobile application collects your device's precise (GPS-based) location to provide geofenced staff attendance. Specifically:

  • What we collect: Your device's current geographic coordinates while you are using attendance features. On iOS, the app may request temporary full accuracy to reliably detect geofence entry and exit.
  • How we use it: Coordinates are used on your device to calculate whether you are within the permitted radius (approximately 230 meters / 250 yards) of your assigned childcare center, in order to enable or disable clock-in and clock-out. To display a human-readable address for a location, coordinates may be sent to third-party mapping/geocoding providers (Apple and/or Google).
  • How we store it: We do not transmit or store your device's precise location coordinates on our servers. The app records only whether you were within the permitted area at the time of a clock-in or clock-out event — not your continuous location history.
  • Foreground and background: Location is used primarily while the app is open and in use (foreground). The app also holds background location permission, reserved for an optional geofenced automatic clock-out feature that detects when you leave your assigned center. Where this feature is active, background location is used solely to determine geofence entry/exit for attendance — never for advertising, profiling, tracking, or sale.
  • Your control: You can enable or disable location access at any time in your device settings. Disabling location may limit or prevent geofenced attendance features.

We do not sell your location data or use it for advertising.

2. How We Use Your Information

We use your information to:

  • Provide, operate, and maintain the Services
  • Personalize your experience
  • Process transactions and send billing reminders
  • Verify staff attendance through geofencing
  • Send notifications, service-related emails, and updates
  • Respond to inquiries and provide customer support
  • Improve system performance and troubleshoot issues
  • Comply with legal obligations

3. How We Share Your Information

We do not sell your personal information. We may share your information in the following cases:

  • Service Providers: With trusted vendors who assist in delivering our Services (e.g., hosting, payment processors, and Google Firebase for authentication, data storage, push notifications, and crash reporting).
  • Mapping / Geocoding Providers: When converting location coordinates into a readable address, coordinates may be sent to Apple and/or Google, subject to their respective privacy policies.
  • Legal Compliance: If required by law or to respond to legal requests.
  • Business Transfers: In connection with a merger, sale, or acquisition.

4. Data Security

We implement reasonable security measures to protect your data from unauthorized access, use, or disclosure. These include:

  • Encrypted transmission (SSL/TLS)
  • Secure on-device storage of credentials and tokens
  • Secure data storage
  • Access controls and user authentication

However, no method of transmission over the internet is 100% secure.

We retain personal information for as long as necessary to fulfill the purposes described in this policy, or as required by law. Account data may be deleted upon user request or after account termination.

We use cookies and similar technologies to:

  • Keep you logged in
  • Analyze usage and improve our services

Specifically, on our website we use:

  • Zoho Analytics: Tracks visitor behavior to provide business insights. Data is aggregated and used for internal analysis only.
  • Zoho SalesIQ: Provides live chat functionality and visitor tracking. This may include IP address, geographic location, and session duration.
  • Zoho PageSense: Used for A/B testing, heatmaps, and behavior analytics to optimize the site experience.

  • Object to or restrict processing

8. Children's Privacy

Our services are intended for use by adults managing childcare businesses. We do not knowingly collect personal information directly from children under 13. Any child-related data entered into the system is the responsibility of the childcare provider and is subject to the data protection and consent policies of the provider.

Our Services may contain links to external websites. We are not responsible for the privacy practices of third-party sites.

10. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. Any changes will be posted on this page with the updated effective date. Your continued use of the Services after changes are made indicates your acceptance.

If you are located in the European Economic Area (EEA), you have certain rights under the General Data Protection Regulation (GDPR), including:

  • The right to access, update, or delete the information we have on you.
  • The right of rectification.
  • The right to object.

  • The right to opt-out of the sale of your personal information (Note: We do not sell your information).
  • The right to non-discrimination for exercising your rights.

We respect your privacy. When you provide your mobile phone number and opt-in to receive SMS messages from us, we will use your number solely for the purposes of communication related to our services (e.g., updates, alerts, and reminders).

We do not share, sell, or disclose mobile opt-in data or consent with third parties.

15. Mobile Application Permissions

Our WowCare mobile applications (iOS and Android) ask for your permission before using certain features of your device. We only use each permission to provide the feature described below. We never use these permissions for advertising, and we never sell the information collected through them.

  • Camera — To take photos and videos of children's daily activities and to scan QR codes for attendance check-in. Photos and videos you capture are saved to your organization's account.
  • Microphone — To record sound when you record a video in the app.
  • Location — To confirm that staff members are at their assigned childcare center when clocking in or out. Your location is checked on your device to see whether you are near the center; we do not store your exact location on our servers. Location may also be used to show a readable address for an activity. With your permission, the app can also detect when you leave the center to support automatic clock-out. See Section 1(d) for full details. You can turn location access off at any time in your device settings.
  • Photos & Storage — To let you choose photos or videos to upload, and to save items to your device, such as downloading your child's activities or a newsletter shared by the school. We only access the items you select.
  • Notifications — To send you messages, attendance updates, billing reminders, and important alerts.

You can review or turn off any of these permissions at any time in your device's settings. Turning off a permission may disable the related feature.

Our apps also use Google Firebase to sign you in, store your data and files, send notifications, and report crashes so we can fix problems. To keep the app running reliably, we may collect basic device information (such as device model, operating system, and app version). This information is subject to Google's Privacy Policy in addition to this policy.
